Information we collect
Information you give us
If you contact us by phone, email, or through the enquiry form on this website, you may give us:
- Your name
- Phone number and/or email address
- Property address
- Details about the repair you need, including any photos you send us
Information collected automatically
Like most websites, we use tools that automatically collect some information about how visitors use our site, including your approximate location, browser type, and which pages you view. We use Google Analytics for this, via Google Tag Manager. This helps us understand which pages are useful and where visitors come from. These tools only run if you accept analytics cookies via our cookie banner.
We also use a call tracking number on our website. This means the phone number displayed to you may be a unique tracking number rather than our main line, so we can see which calls come from the website. We do not currently record calls, but details such as the call time, duration, and your phone number may be logged, so we can understand which calls come from our website.
Our site also displays a selection of our genuine Google customer reviews. These are shown as part of the page itself and do not set any cookies.
How we use your information
We use your information to:
- Respond to your enquiry and provide a quote
- Follow up on quotes and enquiries by email, phone, text message, or WhatsApp
- Arrange and carry out repair work, including scheduling and job tracking
- Send invoices and process payment (via our accounting software, Xero)
- Keep records of work carried out, for warranty and quality purposes
- Understand how people use our website, so we can improve it
The enquiry form on our website is provided and managed through Go High Level, our CRM platform, which we use to receive your enquiry, keep track of it, and follow up with you.
We rely on the following legal bases under UK GDPR:
- Contract — to arrange and deliver the repair work you’ve asked for
- Legitimate interests — to respond to enquiries, keep business records, and improve our website
- Consent — for non-essential cookies, such as analytics (where required)
We do not use your information for marketing unless you’ve specifically agreed to this, and we do not sell your information to anyone.
Who we share your information with
We share information with trusted third parties who help us run our business, including:
- ClickUp — for scheduling and tracking jobs internally
- Xero — for invoicing and accounts
- Go High Level — our customer relationship management (CRM) system, which provides the enquiry form on our website and is used to manage enquiries, follow-ups, and communications with you
- WhatsApp (Meta) — if you contact us or we follow up with you via WhatsApp, your messages are handled in line with WhatsApp’s own privacy policy, as well as this one
- Call tracking provider — supplies the tracking number on our website and logs call data, as set out above
- Google Analytics — for website statistics
We may also share information where required by law, for example with HMRC, or if we’re legally obliged to disclose it to protect our rights or the safety of others.
We do not share your information with third parties for their own marketing purposes.
How long we keep your information
We keep enquiry and job information for as long as needed to carry out the work, honour any guarantee period, and meet our legal obligations (including tax and accounting record-keeping requirements, typically 6 years). After that, we delete or anonymise it unless we’re required to keep it longer.
Cookies
Our website uses cookies — small text files stored on your device — to help it run properly and to understand how it’s used.
When you first visit our site, you’ll see a cookie banner where you can choose whether to accept optional cookies. We use the following categories:
- Strictly necessary — required for the website to function (for example, remembering your cookie preferences). These can’t be switched off.
- Analytics cookies — set by Google Analytics via Google Tag Manager, to help us understand how visitors use the site (e.g. which pages are viewed and how visitors found us). These only run if you accept them.
You can change your cookie preferences at any time by clicking Cookie Settings — the same link appears in the footer of every page. You can also block or delete cookies through your browser settings. If you decline analytics cookies, the site will still work as normal — our reviews display doesn’t rely on cookies.
Your rights
Under UK GDPR, you have the right to:
- Ask us what personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information (subject to our legal obligations, e.g. accounting records)
- Object to or restrict how we use your information
- Ask for your information in a portable format
To exercise any of these rights, contact us at acpwindows@gmail.com or 01202 287015.
If you’re unhappy with how we’ve handled your information, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
Keeping your information secure
We take reasonable steps to protect your personal information, including using secure, reputable third-party platforms (ClickUp, Xero, Google) rather than storing sensitive data ourselves wherever possible. However, no method of transmission over the internet is completely secure, and we can’t guarantee absolute security.
Children
Our website and services are intended for adults. We don’t knowingly collect information from children.
Changes to this policy
We may update this policy from time to time, for example if we start using a new tool or service. Any changes will be posted on this page with an updated date at the top.
